All you need to do is follow the steps mentioned below:
Firstly, install and activate the plugin PublishPress.
Secondly, you will see a new menu item in your WordPress admin menu. Navigate to PublishPress >> Notification.
On this page, you will already see the list of the default notifications that send emails to the site administrator. Click on the “Add New” button to create a new custom notification and type “Posts Pending Review” in the title portion.
Now, it’s your turn to set the workflow of the plugin. The configuration allows you to select when to send the notifications, who to notify, and types of content for notification. Our motive is to notify when the status of the post is changed to “Pending review“.
Therefore, check the box beside the “When the content is moved to a new status” checkbox. Additionally, select “Pending review” from the drop-down menu.
Now, it’s time to choose the type of content. For this, check the box beside “Post type” and then select “Posts” from the dropdown menu.
Note: This basically depends upon which type of content you wish to get notifications from. You can either choose posts or pages or even select all as well.
Next, you need to select the person for notifying the emails. If the site has only one administrator then simply check the Site Administrator box. But, if you have many editors then the process is a little complicated.
In this case, you need to check the box Roles checkbox and then Editor from the dropdown menu.
Note: By default, WordPress sends emails to all the users editing the posts. However, you can change this system in the settings.
Composing the content of the Email
The plugin itself has added shortcodes in the help box, it will automatically fill the correct information in the post.
Nevertheless, here are some of the shortcodes for our email:
[psppno_post title] fills in the title of the post
[psppno_post display_name] adds the author of the post
[psppno_post permalink] fills in the permalink to the post
Initially, you need to copy and paste the line mentioned below in your Subject box
“[psppno_post title]” is ready for review
And then copy the text mentioned below into your Body text box.
This notification lets you know about the content “[psppno_post title]” if it is ready for review. The post was written by [psppno_post display_name].
The URL of the content is [psppno_post permalink]
Finally, click on the “Publish” button.
